EXECUTIVE ASSOCIATE JOB OPPORTUNITY
Position Summary: The (EA) Executive Associate provides executive, managerial, confidential and administrative support services to the Executive Director, Leadership Team and Board of Directors. The EA serves as the primary point of contact, on matters pertaining to the Office of the Executive Director and manages the main reception area. The incumbent is a key member of the Jubilee leadership team and a dedicated team player with related experience in a Unionized work environment. The EA is able to work independently and must be able to work under pressure and handle a wide variety of activities and confidential matters with discretion, professionalism and efficiency. The incumbent will have experience and working knowledge of 24/7 operations in the Addictions & Mental Health sector. This position requires rotating (shared) on-call availability.
Education and Experience: Diploma or Certificate Program (2-3 years) in Office Administration/Finance, HR or closely related field of study.
4 to 5 yrs. related experience including 3 yrs. experience at an Executive Assistant level.
Proven ability at drafting business correspondence with a high degree of accuracy.
Sound Knowledge of various software applications: MS Office, Excel, Power Point, Adobe, standard office equipment, and various databases such as CCIM.
Possesses working knowledge of finance and accounting systems and is skilled in use of word processing and presentation software such as Power Point and various meeting platforms like Adobe Connect, Go-To Meeting and is skilled in advanced minute taking and/or recording.
Working knowledge of the Ontario Addiction and Mental Health System.
Skills and Abilities: Bilingualism in English and French is mandatory. Aboriginal/Indigenous cultural competency and a passion for helping people with addiction, mental health and co-morbid conditions is an asset.
Strong advanced written and verbal communication skills, with the ability to communicate tactfully, clearly with individuals at all levels.
Maintains credibility, trust and support with senior management and Leadership team including Board of Directors.
Integrates information from a wide range of sources and performs tasks seamlessly, with a high attention to detail.
Takes initiative and uses sound judgement, excellent critical thinking and conflict resolution skills in decision-making; manages time effectively, set priorities, and meets tight timelines.
